Introduction AltGen is looking for a Financial Administrator to join a renewable energy company based in Cape Town. The role will assist with providing critical support to the team across accounts payable, treasury, fixed assets, VAT, banking and outsourced provider relationship management, and controls and reporting. This is for a 6 month contract
Duties & Responsibilities Treasury
Support the treasury function across the group of companies. Liaise with outsourced bookkeeping service providers to ensure that all bank accounts are reconciled accurately and timely within the accounting system on a monthly basis. Monitor outstanding reconciling items and follow up on unresolved matters to ensure timely resolution. Maintain effective working relationships with banking partners and assist with banking administration and related requests as required. Assist in ensuring that treasury-related processes are performed in accordance with internal controls and company policies.
Accounts Payable
Take ownership of the accounts payable function across the group of companies. Monitor supplier payment cycles and follow up on outstanding payments not processed in accordance with agreed payment terms. Review bi-monthly payment proposals for accuracy, completeness, compliance with internal policies, and appropriate VAT treatment. Oversee the timely and accurate processing of supplier invoices by outsourced bookkeeping teams. Review and approve supplier information prior to onboarding onto the internal supplier database. Maintain and strengthen the accounts payable control environment by ensuring adherence to internal controls and identifying opportunities for process improvement. Provide ongoing support and guidance to outsourced bookkeeping teams in relation to internal systems, reporting requirements, and deliverables.
Accounts Receivable
Take ownership of the accounts receivable function across the group of companies. Ensure customer invoices are generated and distributed within the required timelines. Monitor trade receivables ageing and follow up on overdue balances, escalating long outstanding amounts where necessary. Oversee the accurate allocation and matching of customer receipts to invoices by outsourced bookkeeping teams. Ensure customer information is accurately captured and maintained within the internal customer database. Maintain an effective control environment over the accounts receivable function and recommend improvements where required.
Fixed Assets
Maintain oversight of the fixed asset register across the group of companies. Ensure the fixed asset register agrees to the trial balance on a monthly basis and investigate discrepancies where identified. Review general ledger activity to ensure capital expenditure has been appropriately identified, capitalised, and recorded in the fixed asset register. Review capitalisation and depreciation journals for completeness and accuracy. Ensure fixed asset data is maintained accurately and that depreciation is applied in accordance with applicable accounting policies and SARS wear-and-tear guidelines where relevant. Ensure assets are appropriately derecognised and that disposals and related accounting entries are processed correctly. Carry out with the assistance of the Information Systems department quarterly, or as required, fixed asset reviews and inspections of the fixed asset register.
Prepayments and Accruals
Review monthly prepayment schedules across the group of companies. Ensure prepayments are recognised and accounted for in accordance with internal policies and accounting requirements. Monitor prepayments nearing the end of their service periods and engage with relevant stakeholders regarding renewals or terminations. Review the accuracy of monthly amortisation entries relating to prepaid expenses and recommend corrective action where required. Ensure prepayment schedule balances reconcile to the relevant trial balance accounts on a monthly basis.
Reporting, VAT and General Finance Support
Assist with broader finance workstreams and operational finance requirements across the business. Compile monthly Economic Development Spend Reports and Local Content Declaration Certificates. Prepare monthly VAT workings for applicable entities, including the review and classification of VAT transactions prior to submission to management. Provide support during SARS VAT verification processes and related information requests. Assist with day-to-day finance activities and month-end close procedures across all entities within the group. Support year-end close processes, including preparation of supporting schedules and reconciliations. Assist with external, and where applicable internal, audit processes and provide supporting documentation where required.
Desired Experience & Qualification
Diploma in Accounting, Finance, or a related field with 1–3 years’ relevant work experience Working knowledge of Microsoft Dynamics or equivalent accounting system. Strong Microsoft Excel skills. Sound understanding of basic accounting principles and reconciliations.
