Introduction Our Client in the Private Equity space is looking for a relaible multidiamentional individual to join their small team for a temporary (maternity leave) positon. This role is a central support function across the business, responsible for keeping day-to-day operations running smoothly across IT coordination, office administration, and compliance. It sits at the intersection of systems, people, and processes, ensuring that the team is fully supported from both a technical and operational perspective.
Duties & Responsibilities Information Technology
IT Support
Provide daily IT support to all staff Troubleshoot:
Login and access issues Email functionality and syncing issues File access and cloud syncing problems
Ensure all systems (Email, OneDrive/SharePoint, Teams) are functioning and properly synced Resolve issues internally where possible before escalation
Helpdesk & Escalation
Monitor and respond to IT queries via helpdesk Escalate complex issues to the external IT service provider (Silicon) Track and follow up on all logged tickets Communicate progress and resolution back
IT Environment Notes
Fully cloud-based environment External providers handle advanced IT infrastructure and security
Document & Cloud Management
Manage shared documents on Microsoft OneDrive Ensure proper document organisation and filing structures Manage user access (internal and external) Maintain version control and prevent duplication Assist users with document retrieval and sharing Assist with providing the requested documents to internal and external
Email & Communication Management
Support and maintain Microsoft Outlook Ensure emails are: Functioning correctly, Properly syncing across devices and Troubleshoot email delivery or access issues Send and manage internal and external communications
Meeting & Calendar Coordination
Assisting with scheduling meetings via Microsoft Teams and Outlook Assisting with coordinating calendars for the team Assisting with booking boardrooms and managing meeting logistics Assisting with setting up virtual meetings (links, invites, confirmations)
Office Administration & Facilities Management
Handle day-to-day office operational issues, including: Electricity outages or disruptions, Water supply issues, Alarm, CCTV and General office faults Assist in Logging and follow up on maintenance issues with service providers Ensure minimal disruption to business operations
Office Administration Support
Upload and manage documents for signature via Dropbox sign Track document signing progress and follow up Assist with travel bookings (flights and related arrangements) Provide general admin support
Compliance & Regulatory Support
Maintain compliance schedules and submission trackers Monitor deadlines and submission requirements Send reminders ahead of due dates Track submitted vs outstanding items
KYC & Data Management
Upload and manage KYC documentation via DocFox / nCino Ensure all required client information is complete and accurate
Grant and manage access for: Internal users Investors and portfolio companies
Follow up on outstanding KYC requirements
Reporting & Presentation Support
Prepare and update presentations using Microsoft PowerPoint Support: Quarterly and Annual reports, Ad hoc presentations, Ensure consistency in formatting and company standards
