Introduction We are looking for an experienced Airtable Specialist to design and build a robust, scalable candidate application tracking system for a growing recruitment business. The goal is to create a streamlined, user-friendly workflow that supports candidate intake, tracking, communication, and reporting.
This is a short-term contract role with the potential for ongoing work as we continue to optimise and scale our systems.
Duties & Responsibilities
Design and build a custom Airtable base to manage candidate applications end-to-end Translate recruitment workflows into a structured, intuitive data model Create tables, fields, and relationships for: Candidate profiles Job roles Applications Clients Interview stages Develop clear pipeline stages and status tracking for candidates Implement automation workflows, including: Candidate intake from forms (e.g. Google Forms or Airtable forms) Status updates and notifications Task reminders and follow-ups Integrate Airtable with other tools where needed (e.g. email, CRM, ATS platforms via API or Zapier/Make) Build views and dashboards for easy tracking and reporting Ensure data is structured for scalability and reporting insights Document the system and provide a handover/training session
Desired Experience & Qualification
Proven experience building complex Airtable systems (CRM, ATS, or workflow tools) Strong understanding of relational databases and data structuring Experience with automation tools (Airtable Automations, Zapier, Make, APIs) Ability to translate business processes into practical system workflows Strong attention to detail and user experience Excellent communication skills and ability to work independently
Nice to haves:
Experience in recruitment, talent acquisition, or HR tech Familiarity with ATS systems and recruitment pipelines Experience with tools like Manatal, HubSpot, or similar CRM/ATS platforms Basic scripting or API integration knowledge
