Introduction PURPOSE OF THE POSITION
To manage inventory levels for the businesses to ensure accurate and adequate quantity by maintaining inventory management systems, maintaining stock levels, issuing, receiving and labelling inventory, coordinating the logistics of orders and transfers, forecasting the supply and demand requirements and performing regular inventory audits and analysis to ensure consistent stock levels. To ensure optimal inventory on hand to satisfy customer demand and optimise profits.
Duties & Responsibilities Operation Management:
Issuing & Receiving
Issue stock to a withdraw document / picking list and post items from the system. Ensure works orders are correct and fully completed and that all stock has been allocated to the job correctly. Assess inventory output on a daily, weekly, or monthly basis to identify trends in productivity. Bin all incoming receipts and update the computer system to indicate the new location. Ensure On-time Goods Receiving to Bins. Perform bin changes as required. Maintain adequate inventory levels to meet customer demand. Handle specialized stock as per special requirement i.e ESD items, Composites items etc. Ensure on-time delivery from Store to customers as per Demand Requirements. Perform planned and unplanned receipts to stores and stock adjustments as required.
Inventory maintenance
Monitor inventory levels. Track inbound and outbound orders to prevent overstocking. Ensure correct segregation of product material. Perform general condition inspections of stock during storage to ensure items are not damaged or deteriorating. File claims when defective products are discovered. Ensure that specific conditions of storage i.e., darkroom and ESD rules etc. are adhered to and that the evidence of such actions is documented. Perform shelf-life control by checking date-sensitive products for expiration and facilitate removal or transfer of product as needed. Monitor delivery schedule and customer orders.
System maintenance
Analyse and review supply chain data to identify and resolve issues. Maintain and update records of purchase orders, pricing reports and inventory records. Perform process and system testing and track performance by area to locate and solve problems in data integrity, productivity, and efficiency.
Cycle counts
Perform cycle counts and ensure all inventory is accounted for and reported according to Company policy. Investigate and correct discrepancies in reported quantities and locations of all inventory. Provide input to related procedures and processes
Audit and Compliance:
Provide documentation timely as required for Governance and Compliance audits are available as requested. Action Corrective Action (CARs) identified in audits timeously. Maintain documentation in a required standard of all worked performed, defects that has been addressed and corrective actions that has been taken and provide supporting documentation in all cases. Ensure compliance to all statutory rules and regulations.
Quality & SHE:
Maintain safe and compliant working conditions through housekeeping of your work areas. Conform to health and safety regulations. Maintain adherence to Quality standards of all regulatory bodies to support the company to maintain current accreditations and apply for new accreditations.
Human Resource Management:
Participate in the performance management process Participate in staff meetings as and when required to discuss operational performance and business issues Live the company values and exhibits behaviours to reflect the company culture.
Financial Management:
Utilise resources in a cost-effective manner to reduce and eliminate wastage. Manage own productivity effectively (Time keeping) Continuously seek opportunities to save costs. Continuously seek opportunities to reduce cost.
Desired Experience & Qualification Core Requirements:
Grade 12 with Stores & Stock Control Certificate or similar field equivalent to NQF 4. 3 years’ experience in warehousing, shipping, logistics, inventory management or similar in a high technical industry.
Knowledge Requirements:
Competent knowledge of inventory management techniques and best practices. Basic knowledge of lean manufacturing and continuous improvement principles. Basic knowledge of MS Office work packages. Competent knowledge on how to use inventory management software. Basic knowledge of Incident Managing and Reporting.
