Introduction
Coordinate, monitor and expedite all assigned transport movements from collection through to final delivery Ensure operational excellence through real-time load tracking, customer communication, fuel management, incident coordination and accurate operational administration Coordinate and expedite transport activities to ensure loads are delivered safely, efficiently and on time Build strong customer relationships through professional, timely communication with customers, drivers and internal stakeholders Use the Transport Management Systems (TMS), telematics, tracking platforms and MS Office to monitor operations and maintain visibility Identify operational issues, analyse information and take appropriate action Manage multiple loads, competing priorities and changing operational demands while maintaining service levels Maintain accurate records, documentation and reports while ensuring compliance with company procedures
Duties & Responsibilities Load Expediting & Operational Coordination
Expedite all assigned loads from collection through to final delivery Monitor loading, transit and offloading activities to ensure service delivery commitments are achieved Maintain continuous visibility of all allocated vehicles throughout the shift Monitor adherence to planned collection and delivery schedules Liaise with Fleet Planners regarding operational changes, delays and vehicle availability Verify vehicle departures, arrivals and delivery completion Coordinate approved operational changes affecting customer deliveries Monitor overdue loads and investigate delays Keep drivers informed of route changes, customer delays, loading delays, revised delivery instructions and operational updates Escalate operational risks, service failures and delays immediately Daily operational planning and vehicle utilisation Complete comprehensive shift handovers, ensure all active loads, outstanding issues and operational exceptions are communicated
Customer, Driver & Stakeholder Communication
Maintain continuous communication with customers regarding shipment progress Provide ETA updates and advise customers of delays, incidents or service disruptions Update customer portals, tracking systems and communication platforms Respond professionally to customer enquiries and requests Maintain regular communication with drivers regarding trip progress and operational requirements Conduct driver briefings and debriefings Liaise with Fleet Planning, Workshop, SHEQ and Management to ensure operational continuity
Tracking, Fleet Monitoring & Fuel Administration
Monitor all allocated vehicles using approved telematics and tracking systems Identify and investigate route deviations, excessive standing times, unauthorised stops and operational exceptions Monitor panic alerts, battery disconnects, camera notifications and geofence violations Ensure drivers use approved stopping and overnight facilities Monitor refrigerated loads and immediately escalate temperature deviations Open authorised fuel cards and then close fuel cards immediately after authorised transactions have been completed Record and maintain accurate fuel transaction information Escalate suspicious fuel transactions or operational anomalies Notify the Workshop of vehicle defects, breakdowns or maintenance concerns
Incident, Compliance & Operational Risk Management
Record and escalate operational incidents, accidents, breakdowns and service failures Coordinate emergency response procedures including vehicle accidents, hijackings, breakdowns and injuries on duty Notify relevant internal departments and customers of operational incidents Monitor driver compliance with company policies, legislative requirements and customer operating procedures Monitor driver working hours and rest periods and escalate potential non-compliance Assist with overload management and completion of required documentation Escalate operational risks that may impact customer service, safety or compliance
Documentation, Administration & Operational Reporting
Capture accurate operational information relating to trips, deliveries and customer updates Ensure all driver documentation is received upon return, including Proof of Delivery (PODs), fuel slips, toll slips, trip documentation, gate passes and any other operational records Verify the completeness and accuracy of all returned documentation and follow up on outstanding documents Maintain fuel, POD, key registers, and gate pass registers as well as other operational records Record incident documentation and update operational registers Ensure POD documentation is submitted within required customer timeframes Complete daily operational, shift handover, and exception reports Maintain accurate operational records within all company systems Ensure all documentation is complete, accurate, traceable and audit-ready Support the achievement of operational SLAs and customer KPIs Assist colleagues during periods of high operational demand
Desired Experience & Qualification
Grade 12 (Matric) Certificate / Diploma: Logistics, Supply Chain Management or Transport Management (advantageous) 2–3 years' experience in a transport, logistics or fleet control environment Experience with vehicle tracking and transport operations Customer service experience within a logistics environment Experience using Transport Management Systems (TMS) and telematics platforms Take ownership of responsibilities Follows through on commitments and accept responsibility for outcomes Respond promptly to operational issues Able to work in a fast-paced environment Remain calm and composed under pressure / during operational disruptions / emergencies Demonstrate honesty, professionalism and ethical behaviour in all interactions and decision-making Adjust quickly to changing operational priorities, customer requirements, and business needs Work collaboratively with colleagues and contribute towards achieving shared operational objectives Able to maintain a high level of concentration while monitoring multiple computer screens and systems Shift work, including day shifts, night shifts, weekends and public holidays, in accordance with the operational roster
