a centre for learning </li></ul>POSITION INFO: Division: Sydney Brenner Institute for Molecular Bioscience (SBIMB) Main purpose of the job: <ul><li>To be the central point of contact responsible for ensuring operational efficiency in relation to office management, administration, events management and document control </li></ul>Location: <ul><li>Sydney Brenner Institute for Molecular Bioscience, 9 Jubilee Road, Parktown, Johannesburg </li></ul>Key performance areas: <ul><li>Monitoring, ordering, and inventory management of supplies, ensuring compliance with procurement processes</li><li>Obtaining quotes from relevant suppliers within set budgets and policy requirements</li><li>Processing of orders for the project’s office and the research laboratory</li><li>Receipting of goods/orders and capturing payments</li><li>Follow up on payments and make sure the suppliers are paid</li><li>Participate in with Asset Verification</li><li>Managing travel itineraries (flights, accommodation, shuttles liaise with finance for subsistence and travel)</li><li>Maintaining a good filing system and assisting with photocopying, collation and distribution of documents</li><li>Liaise with relevant service providers to assist with general maintenance of the building</li><li>Scheduling meetings, taking minutes</li><li>Participate in writing SOPs related to the effective functioning of the organisation’s administration and facilities</li><li>Booking of meeting room/venues for events</li><li>Preparation of workshops, trainings, and seminars</li><li>To set up venue and equipment prior to events</li><li>To organise catering for meetings on request</li><li>Work overtime during events (early start or late finish)</li><li>Acting as the primary point of contact for stakeholders</li><li>Handling queries and delivering messages, often serving as the face of the office</li><li>Liaise with ICT for IT-related queries or requests, as well as general maintenance of printers</li><li>Document Control: Maintaining advanced electronic and physical filing systems, ensuring quick retrieval of records, and drafting correspondence </li></ul>Required minimum education and training: <ul><li>Any Bachelor's Degree with relevant Administration experience or a Degree in Office Management, Public Administration, or equivalent qualification </li></ul>Required minimum work experience: <ul><li>Excellent written and verbal communication skills</li><li>Competent in the use of Microsoft office packages (Word, Excel, Outlook)</li><li>A candidate who can ensure seamless office operations through advanced organizational, administration, procurement and communication skills</li><li>Ability to think independently and make qualified judgments</li><li>Able to prioritize own workload in meeting deadlines and handle pressure</li><li>Ability to handle multiple reporting lines</li><li>Advanced planning, organizing, interpersonal, and problem solving skills </li></ul>Desirable additional educaation, work experience and personal abilities: <ul><li>5 Years Office Administration in a Research environment or an
